Invoicing & Project Accounting Specialist - Temp-to-Perm (Hybrid)
Pay Information: based on experience
Hourly pay during contract assignment: $25-45/hour - estimated 20-30 hours per week
Salary pay upon permanent hire: $50,000.00-$70,000.00/annually - 40 hours per week

As we continue to grow and expand, we are seeking a skilled and experienced Invoicing & Project Accounting Specialist to join our dynamic team on a temp-to-permanent basis.
The Invoicing & Project Accounting Specialist will work as part of the firm's operations team and will assist in ensuring operational excellence through consistent communication, collaboration, meeting deadlines, and maintaining processes. Responsibilities include but are not limited to invoicing, project accounting support, supporting (and owning, as needed) AP/AR, processing of timesheets and payroll as needed, and working within our Enterprise Reporting Platform (ERP), Deltek Vantagepoint. Relevant experience in the Engineering, Architecture and Construction industry is preferred.
Job Responsibilities
Invoicing
- Lead client invoicing process from start to finish to ensure accurate and timely billing
- Communicate with project teams and client billing contacts for invoice preparation and processing
- Pull invoice backup where needed
- Comply with local, state, and federal government requirements
Project Accounting Support
- Support project managers with project administration in Deltek
- Assist with client and/or project set up including entering contact information, contract and billing terms, and work breakdown structures
- Support project managers with the careful management of project budget and contract compliance
Accounts Payable/Accounts Receivable (as needed)
- As needed, support accounts payable and accounts receivable including monitoring billing transactions and resolving account discrepancies
- Manage relationships with clients to ensure prompt payment, and follow up on past due accounts
- Update client records in the database, post payments timely, and escalate outstanding bills to the firm's Partner for resolution
- Process vendor payments
- Comply with local, state, and federal government requirements
Timesheets and Payroll (backup, as needed)
- Process employees’ paychecks by collecting payroll data, timesheets and coordinating with payroll provider, Paychex
- Manage the firm’s timesheet process ensuring all timesheets are reviewed, approved and posted on time
- Verify employees’ work hours and payment through Paychex and the firm’s time and expense software, Deltek Vantagepoint
- Issue deductions, earnings and other statements to employees and update payroll records regularly
- Update payroll records by entering any changes to employee information or benefits such as job title changes, exemptions and saving deductions
- Prepare reports that include summaries of earnings, tax deductions, leave and non-taxable wages
- Resolve payroll discrepancies and answer any employee payroll queries
- Maintain all payroll operations according to company policies and procedures
Enterprise Reporting Platform (ERP) (support, as needed)
- Support the firm’s ERP, Deltek VantagePoint, by overseeing the timesheet review process, processing expense reports, and updating employee records
- Provide support to Chief Financial Officer in the preparation of periodic financial statements and annual reports
Position Qualifications
- 5+ years’ experience with billing and complex invoice preparation (including cost plus fixed fee arrangements, project multipliers, etc.)
- 3+ years' experience in a project accounting capacity
- Bachelor's degree in Accounting or Business Administration is preferred
- Strong business acumen, attention to detail, critical thinking skills and effective time management to support simultaneous efforts
- Proficiency in Microsoft Excel
- Strong and professional communication; verbal and written
- Ability to multitask and prioritize in a fast-paced environment
- Self-starter with a strong sense of initiative and a can-do attitude
- Ability to handle confidential and sensitive information with discretion
- Experience in the engineering, architectural and professional services preferred
- Experience with Deltek Vantagepoint preferred, not required
- Knowledge of Illinois’ cost estimate consultant services (CECS) process preferred
- Positive attitude, organized, team player willing to support the team's overall effort
- Must have the ability to work a hybrid schedule in the Morreale office 2-3 days per week.
