The HR & Accounting Coordinator plays a key role in supporting both human resources and financial operations. This role involves assisting with various aspects of each discipline, including payroll processing, employee onboarding, benefits administration, accounts payable/receivable, and other HR and accounting support to ensure smooth company operations.

The HR & Accounting Coordinator plays a key role in supporting both human resources and financial operations. This role involves assisting with various aspects of each discipline, including payroll processing, employee onboarding, benefits administration, accounts payable/receivable, and other HR and accounting support to ensure smooth company operations.
Key Responsibilities
- Assist with recruitment, onboarding, and offboarding processes.
- Process reference checks, prepare new hire paperwork and background checks.
- Support the maintenance of employee records to ensure compliance with labor laws.
- Act as liaison with benefits broker and other vendors, as needed.
- Support the administration of employee benefits, including liaising with plan contacts, and supporting documentation for health insurance and retirement plans. 401k file eligibility notices and semi-monthly uploads into the system.
- Assist with documentation for performance evaluations, training programs, and employee relations processes.
- Support compliance with company policies, employment laws, and safety regulations.
- Address employee inquiries regarding HR policies and benefits.
- Support weekly time sheet compliance, including the facilitation of timesheet submission, approval process, and posting.
- Prepare client invoices, gather supporting documentation and progress summary.
- Collect outstanding receivables.
- Facilitate vendor setup, ensure W9 compliance and process ACH setup.
- Vouch payables and send remittance advice.
- Process expense reports, source supporting documentation.
- Manage weekly reporting for Accounts Payable and Accounts Receivable.
- Onboard and offboard company communication applications for new hires including email accounts.
- Project setup, job closure and ongoing maintenance.
- Additional duties as assigned.
- Ability to work onsite in the Rosemont office, three days per week.
- Ability to travel for work as needed.
- Bachelor’s degree in Accounting, Human Resources, Business Administration, or a related field.
- 2+ years of experience in HR, Accounting, or a similar role.
- Knowledge of HR practices, labor laws, and/or accounting principles.
- Experience with accounting and payroll software (e.g., QuickBooks, ADP, Paychex).
- Strong Microsoft Office skills (Excel, Word, Outlook).
- Positive and professional communication skills.
- Excellent organizational, multitasking, and problem-solving abilities.
- High level of confidentiality and attention to detail.
